Job Description:

We are looking for a Jewelry Sales and Supply Administrator to join our small but dynamic team. This role requires a highly organized and experienced individual to handle a range of administrative tasks related to customer service, sales, order processing, and supply chain coordination. As a small business, the responsibilities are varied but manageable, with each task contributing to the smooth operation of our workshop.

The ideal candidate will have at least 2 years of experience in a similar role and be comfortable multitasking across different responsibilities, including customer support, managing shipments, coordinating with suppliers, and handling invoicing.

We work with customers both locally and internationally, so fluency in English and familiarity with international shipments are essential. Prior experience in a jewelry workshop or the jewelry industry is a plus. We also value new ideas and are always open to improving processes.

Key Responsibilities:

  • Greet and assist customers in the workshop, offering exceptional service and product knowledge.
  • Handle customer communications via email, social media, and other online platforms, ensuring timely and professional responses.
  • Manage the shipping process, including packaging, creating courier air-waybills, and ensuring timely dispatch—particularly for international shipments.
  • Process wholesale orders, including managing invoicing and ensuring accurate and timely processing of orders.
  • Prioritize and manage order fulfillment based on order dates and special customer agreements.
  • Monitor and manage inventory levels of materials and supplies, placing orders to ensure timely availability.
  • Communicate with our supply chain and collaborators, ensuring smooth operations and timely deliveries.
  • Follow up on invoicing with suppliers, ensuring that invoices are correctly received, organized, and processed.
  • Run out-of-workshop errands, including buying supplies from locations conveniently near the workshop.
  • Assist in maintaining a clean, organized, and efficient workshop environment.
  • Contribute new ideas to improve organization, workflow, and overall efficiency in sales and workshop operations.
  • Collaborate closely with team members to ensure a smooth and efficient workflow.

 

Qualifications:

  • At least 2 years of experience in a similar role involving sales, customer service, and supply chain tasks.
  • Fluency in English is essential, as we work extensively with international customers.
  • Previous experience in a jewelry workshop or the jewelry industry is strongly preferred.
  • Strong Communication Skills: Ability to interact professionally with customers in person, via email, and through various online channels.
  • Organizational Skills: Ability to manage multiple tasks, prioritize responsibilities, and maintain attention to detail.
  • Customer Service Experience: Prior experience in a customer-facing role, particularly in a retail or creative industry.
  • Technical Skills: Familiarity with e-commerce platforms like Etsy and WooCommerce, as well as social media management tools.
  • Shipping & Logistics: Experience in handling shipping processes, including packaging, creating courier documents, and managing international shipments.
  • Invoicing & Wholesale Management: Experience handling wholesale orders and managing the invoicing process accurately and efficiently.
  • Supply Chain Management: Experience or familiarity with inventory management, communication with supply chain partners, following up on invoicing, and ordering supplies.
  • Problem-Solving Skills: Ability to think critically and resolve issues efficiently, especially when dealing with customer inquiries or logistical challenges.
  • Time Management: Ability to meet deadlines and manage time effectively, particularly in a busy workshop environment.
  • Passion for Fashion and Art: An appreciation for fashion and art, with a good sense of forms and design, to better understand our jewelry aesthetic.
  • Content Creation & Social Media Management: Experience in managing and creating content for social media platforms is a plus.
  • Innovation: Willingness to suggest new ideas to streamline operations and improve organizational processes.
  • Team Collaboration: Comfortable working in an open space, maintaining continuous communication with the team.
  • Discretion and Confidentiality: Ability to handle confidential information with discretion and maintain privacy in all aspects of the role.
